Three meters. No seat count. No surprises at the end of the month.
This page exists because a pricing model is only fair if you can predict it, and you can only predict it if we explain how it is measured.
What we measure, and what we deliberately do not.
If a thing does not cost us money to run, it does not appear on your bill.
Compute time
CPU hours per dayThe processing your Site actually consumes: posting invoices, running payroll, rebuilding reports, answering an agent.
Database size
gigabytesYour live business records: customers, orders, ledger entries, employees, tickets, stock movements.
File storage
gigabytesEverything you attach: signed contracts, scanned receipts, product photography, CVs, delivery notes, presentations.
- People. Add the whole company, the seasonal staff and the accountant.
- Applications. All of them are on every plan, whether you use two or eighteen.
- AI agents. All of them, in every department, on every plan.
- Customer portal users. Every customer you have can log in.
- API calls at ordinary integration volume.
- Documents, invoices, orders or tickets as a count.
- Emails sent through your own mail server.
- Support tickets you raise with us.
How each meter is actually counted.
Including what does not count, which matters more than most vendors admit.
Compute time
CPU hours per daySampled continuously and totalled per day. Only work your Site actually performs counts: rendering a screen, posting a document, running a report, executing a scheduled job, answering an agent request.
Idle time costs nothing. A Site nobody touched on Sunday consumes almost nothing on Sunday. Having twenty people logged in and reading does not meaningfully register.
- Large imports and data migrations
- Nightly stock valuation and consolidation runs
- Reports over long periods rebuilt repeatedly
- Sustained AI agent activity across departments
- Bulk emailing and document generation
Database size
gigabytes of business recordsThe live size of your database, measured daily. Customers, suppliers, items, orders, invoices, ledger entries, employees, tickets, stock movements and their history.
Attachments are not in here, they are in storage. Deleted records free space at the next maintenance pass rather than instantly.
- Years of transaction history brought during migration
- High document volume, especially stock movements
- Detailed audit trails on frequently edited records
- Imported third-party data kept for reference
File storage
gigabytes of filesEverything attached to a record or held in Drive: contracts, scans, product photography, CVs, delivery notes, exports and backups you generate yourself.
Our own platform backups of your Site are not charged to your storage. Neither are the temporary files a report creates while it runs.
- Product photography and marketing assets
- Scanned purchase invoices and receipts
- Signed contracts and personnel files
- Video and design source files in Drive

What happens each month, in order.
You see the meters live
Compute, database and storage are on your dashboard with a rolling history. There is no monthly surprise because there is nothing you cannot already see.
The plan fee is charged monthly
One line, in euro, excluding VAT, on the same date each month. That is the entire recurring bill for a company that stays inside its allowances, which is most of them.
Approaching a limit is a conversation
When a meter trends towards its ceiling we contact you before it matters. Nothing throttles silently and nothing stops working while we sort it out.
You move plan, not price band
Moving up is a resource change applied to the Site you already have. No migration, no downtime worth mentioning, no renegotiation. Moving back down works exactly the same way.
Four things that happen to every company, priced two ways.
The left column is what the market does. The right column is what we do.
| What happens | Per-user pricing | Trivena |
|---|---|---|
| You hire fifteen people | Fifteen new seats, on every product you own. Often several hundred euro a month, more if two of your vendors charge premium tiers. | No change. Fifteen accounts created, same bill, unless those people generate enough additional work to move a meter. |
| You open a second warehouse | A location add-on from the ERP vendor, plus seats for the warehouse staff, plus a connector to keep stock in step. | Configuration. More stock movements will grow the database slowly over time, which may eventually move you up a plan. |
| A quiet quarter | The same bill. Seats are annual, and you agreed to them when things looked better. | Consumption falls, and if it stays down you can move to a smaller plan. |
| You add a department | A new product, a new vendor, a new contract, a new integration and a new renewal date to track. | You switch on an application that was already included and already holding your data. |
Usage and billing questions.
What happens if I exceed an allowance?
You are not charged a penalty rate. We contact you and move you to the plan that fits your actual consumption. Your Site continues running throughout. We would rather have one honest conversation than a bill that ruins the relationship.
Can my bill go down?
Yes. If consumption drops and stays down, move to a smaller plan. Nothing about that is punished, and it is a support request rather than a negotiation.
How do the AI agents affect the bill?
They consume compute like any other work. In practice ordinary agent use is a small fraction of a Site's daily compute, because most requests are short. Running agents continuously across every department at high volume is the case that eventually moves a plan, and you will see it coming on the dashboard.
Are these prices excluding VAT?
Yes. All published prices are in euro, per month, excluding VAT. Dutch and EU VAT rules apply as normal, and valid EU VAT numbers are handled with reverse charge.
Do you charge for data export or for leaving?
No. Export is free, in open formats, at any time, including on the day you cancel. An exit fee is a confession that a vendor expects you to want to leave.
Why not just publish a price per user like everyone else?
Because it would make us more money and make your company worse. Per-user pricing pushes companies to keep staff out of the system that runs the business, which is precisely the behaviour the suite exists to end.
Is there an annual option?
Yes, if it suits your budgeting. It changes the invoicing rhythm, not the model, and it is never a condition of anything else.
