WHY SWITCH

Fewer tools.
One source of truth.

An honest comparison between Trivena and the three things it usually replaces: spreadsheets, a pile of single-purpose SaaS, and a traditional ERP suite.

One platform · AI-first · Managed on Trivena Cloud

The problem is rarely one bad tool

Most companies do not suffer because their CRM is bad. They suffer because their CRM, their accounting, and their support queue each hold a slightly different version of the same customer, and reconciling them has quietly become someone's job.

Switching to Trivena is not about a better feature list. It is about removing the seams between the apps your company already needs.

SIGNALS

Six signs you have outgrown your stack.

If three or more of these are familiar, the tooling is now creating work instead of absorbing it.

You reconcile the same data twice

If a customer or an order exists in two systems and someone keeps them aligned, that person is doing integration work by hand.

Reporting needs an export

When answering a basic question means downloading from three tools into a spreadsheet, your data model is the problem, not your BI tool.

Support asks operations for context

Agents messaging colleagues to find out what a customer ordered is a symptom of disconnected products.

Nobody owns the integrations

Connectors quietly break, and the person who set them up has moved on. That risk grows with every tool you add.

Adding a tool means a project

If switching on HR or a helpdesk requires an implementation plan and a data sync, you are paying an integration tax per department.

Someone runs a database

If updates, backups, and monitoring depend on one person's calendar, you are one holiday away from a bad week.

COMPARISON

Trivena versus the alternatives.

Categories rather than competitors, because the shape of each approach matters more than any single vendor's feature list.

AspectSpreadsheetsPoint solutionsTraditional ERPTrivena
Data modelFiles with copied values; a customer exists wherever someone typed it.One record per customer in each product, kept in sync by connectors. One data model with real modules, but often rigid and version-locked.One platform, one record, referenced by every app.
Integration costManual re-entry and reconciliation.Connector subscriptions plus ongoing maintenance.Expensive integration projects for anything outside the suite.None between Trivena apps, because there is nothing to sync.
PermissionsFile sharing, if any.A separate access model per tool.Detailed but often administered by specialists. One permission system enforced by the platform for UI, API, and AI.
CustomizationInfinite, and impossible to maintain.Whatever each vendor allows, tool by tool.Consultant-led change requests.Custom fields, forms, and workflows in Desk; custom apps when you want code.
AINone.A chat assistant per tool, each blind to the others.Bolted on, usually as a separate SKU.Permission-aware assistance inside every app, reasoning across one data model.
Who runs itYou, in a folder somewhere. Each vendor runs their slice; you own the seams.Often self-hosted or partner-hosted with upgrade projects.Trivena Cloud runs proxy, database, backups, updates, and monitoring.
Adding a departmentA new spreadsheet.A new subscription plus a new integration.A module purchase and an implementation phase.Enable an app in your existing Site; users and data are already there.
WHEN NOT TO SWITCH

Where we are not the answer.

A comparison page that only flatters the vendor is worthless. Here is where Trivena is the wrong choice.

You need one very deep niche tool

If your business lives or dies on a specialised product with no equivalent on our platform, keep it and use our APIs. We would rather integrate than oversell.

You want to run it yourself, today

Trivena is delivered as a managed cloud. If your requirement is on-premise from day one, we are not the right fit yet.

You need certifications on paper now

We describe our architecture and practices honestly and will sign specific commitments, but we do not claim audits we have not completed.

You want every AI feature shipped today

Some AI capabilities are in progress or planned, and we label them that way. If a specific one is a hard requirement, ask us for the real timeline.

START SMALL ON PURPOSE
The best first project is the one department where the pain is loudest. One app, one Site, real data, and then expand.
FAQ

Switching questions.

No, and you should not. Most companies start with the single most painful area, usually invoicing, pipeline, or the support queue, then add apps once that is working.

Keep it for now. Trivena's REST and RPC APIs let you connect it while you move other departments over. The advantage compounds as more of the workflow lands on one platform, but it is not all-or-nothing.

You lose the freedom to type anything anywhere, which is the point. What you keep is configurability: custom fields, saved views, report builders, and print formats, without the one file that only Marcel understands.

Trivena replaces several subscriptions, the connectors between them, and the hosting underneath. Pricing is quoted per company during early access, so the comparison is against your actual stack rather than a list price.

That depends on data quality more than software. A single-app start is usually a matter of weeks; a full multi-department move is a project we plan with you. The migration overview describes the steps.

Compare against your real stack.

Send us what you run today. We'll be specific about what Trivena replaces and what it does not.
